Job Overview:

We are looking for an exceptionally organized, proactive Office Manager to own the day-to-day operations of Hyfé’s San Francisco office. This is a full-time, permanent hire. You’ll be the person who make sure everything just works: the office runs smoothly, the team has what it needs, and nothing falls through the cracks.

The right person for this role doesn’t wait to be asked. You see something that needs fixing and you fix it. You bring a checklist mentality and an ownership mindset - and you’re energized by building systems and routines that help a fast-growing company operate at its best.

Key Responsibilities:

  • Procurement: Lead procurement and receiving of all office and technology supplies - track inventory and anticipate team needs.

  • Facilities Management: Keep the office clean, functional, and well-equipped; coordinate desk setups, equipment, repairs, and vendors.

  • Budget Oversight: Track operational spending against the budget, review expenses, flag anomalies, and work with the Chief of Staff to stay within budget.

  • Financial Operations: Own bill payments, negotiate payments, and expense sorting in CoPilot Money; ensure accuracy and timeliness.

  • IT & Equipment: Manage hardware inventory, coordinate basic IT setup, and liaise with vendors for repairs or replacements.

  • HR, Legal & Compliance: Organize and track key documents, flag renewals, deadlines, and action items, and support key operational functions across HR, Legal, and Compliance.

  • Executive Support: Provide executive support to the CEO, including calendar management, meeting preparation, and coordination of key internal and external communications.

  • Perform duties in keeping with Hyfé’s values, policies and protocols.

Requirements:

  • Associate or Bachelor’s degree.

  • Can commit to a regular, full-time schedule (at least 40 hours per week) during normal business hours.

  • Highly proficient and/or open to growth in AI tools to automate workflows.

  • Demonstrated history of taking initiative and leading projects or events, whether in professional settings or otherwise (e.g., led a conference, built a club from scratch, organized events).

  • A “get it done” mentality - you don’t wait for permission; you see what needs doing and you do it.

  • Highly organized with strong checklist discipline - you love a system and you build them where they don’t exist.

  • Treat Hyfé’s operations like your own and hold yourself accountable.

  • Comfortable with ambiguity, eager to grow, and proactive communicator.

  • Authorization to work in the US.
