About the Role

We're hiring an Executive Assistant who will work side-by-side with our CEO every day. You'll own his calendar, manage his inbox, run his travel, and act as the operational backbone that lets him focus on the highest-leverage parts of running the company.

This role is designed for someone with high intellect, strong curiosity, and technical fluency who wants a front-row seat to how a venture-backed robotics company is built. You’ll ramp quickly, develop deep context on the CEO's daily operations, and become a trusted partner in keeping the CEO organized, prepared, and productive.
We’re open to candidates with prior EA experience as well as recent graduates who demonstrate strong judgment, professionalism, and a bias toward action.
This is a full-time, in-person role supporting our CEO and team at Multiply Labs’ San Francisco headquarters.

Responsibilities

Own the CEO’s Time and Attention (End-to-End)
  • Serve as the primary operator for all scheduling and calendar management—business and personal
  • Proactively structure the CEO’s day, week, and travel to align with top company priorities
  • Protect focus time aggressively and ensure seamless transitions between commitments
  • Coordinate personal obligations (appointments, calls, errands, etc.) with the same rigor as business meetings
  • Anticipate conflicts, bottlenecks, and inefficiencies before they happen
  • Run the CEO’s Inbox and Commitments
  • Triage and prioritize a high-volume inbox with speed and judgment
  • Draft clear, precise internal and external communications on behalf of the CEO
  • Track all commitments and ensure every follow-up is completed without exception
  • Maintain tight control over open loops across business and personal contexts
  • Execute at a High Tempo, Across Contexts
  • Keep the CEO fully on track throughout the day—meetings, decisions, follow-ups, transitions
  • Operate with urgency, accuracy, and calm under pressure in constantly shifting conditions
  • Solve problems independently and escalate only when necessary
  • Coordinate High-Stakes Interactions
  • Schedule and coordinate with board members, investors, leadership team executives, and external partners
  • Support meeting preparation, agendas, logistics, and follow-through
  • Ensure executive interactions are frictionless, timely, and well-prepared
  • Travel & Logistics (Business + Personal)
  • Own end-to-end planning for complex domestic and international travel
  • Build detailed itineraries and handle last-minute changes without disruption
  • Ensure all logistics—business and personal—are executed flawlessly
  • Office & Operational Support (10–20%)
  • Help ensure the office runs smoothly on a day-to-day basis
  • Answer the front door and greet visitors and guests
  • Manage supplies, kitchen stock, and vendor coordination
  • Help onboard new team members with tools and administrative support
  • Handle facilities requests and small operational issues from employees
  • Support a well-organized, efficient, and high-functioning work environment
  • This role reports to the VP of Business Operations and People and works closely with the Interim Chief of Staff.

Experience

We are looking for a rare combination of judgment, execution speed, and reliability.
  • 1–3 years experience (elite recent graduates encouraged to apply)
  • Extremely organized with near-obsessive attention to detail
  • Fast thinker who can operate in ambiguity and autonomy
  • High judgment—knows what matters and what doesn’t
  • Tech-native and quick to learn new tools and systems
  • Exceptional written communication: crisp, structured, and precise
  • Calm, steady, and reliable under pressure and shifting priorities
  • Strong internal drive—you take ownership without being asked
  • Comfortable working in a high-expectation, high-trust environment
  • What Success Looks Like
  • The CEO’s calendar is tightly optimized around company priorities and never a source of distraction
  • Inbox and commitments are fully controlled, with no dropped threads
  • Personal and professional obligations are seamlessly integrated and executed
  • The CEO consistently operates with clarity, focus, and minimal operational friction
  • Projects and tasks are executed smoothly with minimal oversight or need for escalation
  • Stakeholders experience fast, precise, and reliable communication at all times
  • Why This Role
  • Direct, daily proximity to the CEO and executive decision-making
  • Accelerated learning curve in operations, leadership, and company building
  • High trust and high autonomy from day one
  • A strong foundation for future roles in operations or startup leadership
