Role:

As the Executive Assistant to the CEO & CTO, you will play a critical role in ensuring the smooth operation of Northwood’s executive leadership by providing high-level administrative and strategic support. You will serve as a trusted partner, managing schedules, coordinating communications, and facilitating key initiatives that align with the company’s mission. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a dynamic and high-growth environment.

Responsibilities:

Executive Support:

  • Manage complex calendars for the CEO and CTO, ensuring seamless scheduling of meetings, travel, and key engagements.

  • Serve as a liaison between executives, internal teams, and external stakeholders, ensuring effective communication and follow-ups.

  • Prepare meeting agendas, briefings, and materials to support decision-making and strategic discussions.

  • Manage and prioritize incoming emails for the CEO and CTO, flagging important messages and responding when appropriate.

  • Draft and proofread correspondence, ensuring clarity and professionalism in all communications.

  • Maintain confidentiality while handling sensitive information and communications.

  • Plan and coordinate domestic and international travel arrangements, ensuring efficiency and cost-effectiveness.

Operations Management:

  • Oversee the day-to-day operations of the office, ensuring a well-organized and efficient work environment.

  • Manage office supplies, vendor relationships, and equipment needs to support a productive workplace.

  • Organize executive offsites, leadership meetings, and company events, ensuring smooth execution and impact.

Project Management & Execution:

  • Support cross-functional projects related to company growth, operations, and customer management.

  • Assist in coordinating high-priority initiatives, tracking progress, and ensuring timely execution of action items.

  • Collaborate with finance, legal, and operations teams to maintain alignment on budget planning, compliance, and organizational policies.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role supporting C-level executives in a fast-paced environment

  • Strong ability to manage multiple priorities with excellent attention to detail

  • Exceptional written and verbal communication skills

  • High level of discretion, professionalism, and ability to handle confidential information

  • Proficiency in productivity tools (Google Suite, Slack, Notion, etc.)

  • Ability to anticipate needs and proactively solve problems

Compensation and Benefits:

Compensation is determined by role, level, location, and alignment with market data. Individual level and base pay is determined on a base-by-case basis and may vary based on job-related skills, education, experience, and technical capabilities. In addition to base salary, Northwood Space offers long term incentives such as company stock, stock options, and cash awards, as well as discretionary bonus for performance.
